CONGRESS & REGISTRATION

Registrations can be submitted here.

Non-members are eligible to register from February 16 to March 31, 2024.

After May 1, 2024 INC Member registrations may be accepted on-site if full capacity has not been reached.

Early bird rates ONLY for INC Members: First €2,150 and Additional €1,950 will ONLY be available if payment is received by February 15, 2024. All registrations received after February 16, 2024 will be treated as regular/last chance with the corresponding fee.

Regular rates INC Members: First €2,450 and Additional €2,350 and Non Members: €3,500 will ONLY be available if payment is received by March 31, 2024. All registrations received after April 1, 2024 will be treated as last chance with the corresponding fee.

Last chance rates ONLY for INC Members: First €2,750 and Additional €2,650.

Accompanying person: Early bird and Regular rates €1,450 will ONLY be available if payment is received by March 31, 2024. All registrations received after April 1, 2024 will be treated as last chance, €1,550.

The registration form must be completed entirely to be processed. Non-member delegates must also complete the additional information requested.

The confirmation email will only be sent upon payment, which must be made upon receipt of the invoice.

Yes, Non-members can attend the INC Congress but congress fee is higher and the application undergoes approval on behalf of the INC.  Non-members are eligible to register from February 16 to March 31, 2024.

Registration on-site at the Congress venue may be accepted if full capacity has not been reached and it will be exclusively for INC Members (Non-members are eligible to register from February 16 to March 31, 2024). The INC Secretariat does not recommend you to expect capacity no to be reached and encourages you to guarantee your attendance, registering prior the event takes place. Payments will be accepted only with a credit card (cash will not be accepted).

Registration on-site will be at the congress venue, beginning on May 7, 2024. Please consult the program for the on-site registration timetable.

In the case that a registered delegate cannot attend, the INC facilitates name change, free of charge, in order to another delegate from the same company take his/her place. Please contact congress@nutfruit.org to inform and request name change as soon as possible.

In the event that a name change is not possible, cancellation policies will apply.

The cancellation policies of Delegates are as follows:

A full refund will be given if the written cancellation is received prior December 31, 2023. For cancellations from January 1, 2024 until April 15, 2024 a 10% administrative fee will be charged. No – Shows and any cancellation later than April 15, 2024 will not be refunded, whatever the reason may be.

Cancellations should be notified in a written form and you must have a written response from the INC Secretariat that it has been accepted to be able to receive any refund.

If you are unable to attend, a substitute delegate may come in your place, only if to be registered before March 31, 2024.

It may be necessary for reasons beyond control of the organizers to alter the content, timings or venue and this does not imply a refund of any kind.

The organizers will not hold responsibility for any transport disruption or individual transport delays and in such circumstances should occur, the normal cancellation policies will be applied.

Participants are advised to arrange their own insurance policies, as required.

The cancellation policies of Sponsors & Exhibitors are as follows:

A 10% administrative fee will be charged for cancellations until December 31, 2023.

For cancellations received from January 1 to March 15, 2024, a 50% administrative fee will apply.

No refunds will be made for cancellations received after March 15, 2024.

Delegate’s registration includes access to the conference and exhibition area, all meetings, all day coffees, lunches and evening social events.

The Accompanying Persons’ registration does not include access to the congress area. This non-business attendee registration includes all evening social events and two optional morning tours including lunch (only if marked on the registration form).

Registration fees do not include insurance of any kind. Congress Organizers do not take responsibility for any individual, medical, travel or personal insurance for any participant failing to arrange their own insurance. Participants are advised to arrange their own insurance policies, as required. Please check if such insurance coverage is accurate and complete in accordance with the activities to be carried out during the Congress.

While every attempt is made to ensure efficient, trouble-free hospitality, including hotel accommodation, sightseeing and tours, participants are advised that the organizers are in no way liable in the event of any necessary modifications, including changes to itineraries for tours due to delays or cancellations of flights/other circumstances beyond the organizers’ control.

The host organization and its suppliers are not liable for personal accidents or losses or damages to private property of attendees of the Congress.

All of our tickets are packaged for a three-day congress, we do not offer one-day tickets.

Our tickets include access to all aspects of INC Congress.

You can connect with fellow delegates before the event through the Online Congress Meeting Point, a networking platform accessible to all confirmed delegates upon completing the registration process and settling their fees. The platform can be accessed through the congress website, and is available before, during and after the congress. We would like to inform you that ONLY participants that have paid the corresponding fees will appear in the Online Meeting Point.

A personal badge is required to access all congress events. To obtain the badge, participants must be registered, and all fees must be paid. The badge is collected at the registration desk on-site.

It is not necessary to bring the confirmation email. You may show your business card or other identification document with your name/details.

Yes, you can. Please mark these on the registration form. Kindly take in consideration that specific food requests (Kosher, Halal and Vegetarian) are only available for the Gala Dinner, as it is a platted served dinner, all-day coffee lunches and other dinners are buffet style.

On-site registration will open on Tuesday May 7, 2024. Please consult the program for registration hours.

It is not necessary but totally recommendable. To avoid queues, you can register and collect your badge the day prior the Congress starts. If you have a booth you can set up one day prior the event.

All congress sessions, social events and any kind of instructions will be conducted in English only.

Business attire is recommended for the congress sessions. For social events we recommend cocktail dress for the welcome cocktail, smart casual for the casual buffet dinner and black tie or culturally traditional attire for the Gala Dinner.

Only Gala Dinner tables can be booked. Bookings will be accepted from April 1 to May 8, 2024 through an online form. Gala Dinner tables are available for 10 guests each.

REQUIREMENTS TO TRAVEL TO CANADA

Most foreign nationals need a temporary resident visa (TRV) or an Electronic Travel Authorization to travel to Canada. The entry document you need depends on:

  • the type of travel document you plan to travel with
  • the country that issued your travel document
  • your nationality
  • your method of travel to Canada for the trip

Applying for an eTA is a simple online process. You should apply for an eTA before you book your flight.

Get your passport, credit or debit card ready, and read the application help document, which is available in several languages.

Pay $7 CAD for your eTA right after you complete the form.

Get an email about your eTA application.

Most applications are approved within minutes but some can take longer.

You may need to submit additional documents before your application can be approved.

If this happens to you, an email will be sent with instructions within 72 hours.

The INC can provide a letter of invitation for your Visa application. In order to get an invitation letter, your INC Membership and your congress registration must be paid. Please complete the following form with the details requested and we will send you the invitation letter as soon as possible.

GENERAL INFORMATION & TRAVEL

The closest airport to the Vancouver Convention Centre is Vancouver International Airport (YVR). YVR is located approximately 14 kilometers from the Vancouver Convention Centre. You can easily reach the convention centre from the airport by taking a taxi, using public transportation, or arranging for other forms of transportation.

Train: Canada Line operates the route: YVR–Airport Station (Richmond) to Waterfront Station (Downtown Vancouver) which is just 3 minutes away from the Convention Centre and it takes 25 minutes average. Please check the Canada Line website for further details.

Warmed by Pacific Ocean currents and protected by a range of mountains, Vancouver enjoys mild temperatures year-round. Moreover, the month of May sees a significant increase in Vancouver's average daily temperatures. The daily average increases four degrees to 13°C overall, with higher temperatures towards the end of the month. The average daytime temperature is 16°C and nights only fall to 9°C a warm welcome from previous cold months.

Vancouver uses Pacific Standard Time (PST) during standard time and Pacific Daylight Time (PDT) during Daylight Saving Time (DST).

The national currency of Canada is the CAD ($).  CAD is divided into 100 cents and its coins are issued in seven denominations: 1c, 5c, 10c, 25c, 50c, $1 and $2.

Like the rest of Canada, Vancouver typically uses a standard voltage of 120 volts AC (Alternating Current) at a frequency of 60 Hz. In Canada, Type A and Type B plugs are commonly used. Type A plugs have two flat parallel pins, while Type B plugs have two flat parallel pins and a grounding pin. Travelers should make sure they have the appropriate adapters or converters for their devices if their plugs are different.

If you have devices that are not dual voltage and are coming from a region with a different voltage (e.g., 220-240V), you will need a voltage converter to avoid damaging your devices.

Vancouver Smoking and Vaping Policy

All hotels and the Vancouver Convention Centre are committed to providing a comfortable and healthy environment for all guests and attendees.  Smoking and vaping are strictly prohibited inside these premises, including hotel guest rooms, meeting rooms, common areas and directly outside from the venue’s doors.  

Designated Smoking Areas: for the convenience of guests who smoke, designated smoking areas are available at specified locations outside the buildings.  Please use these designated areas and dispose of cigarette butts responsibly. 

Penalties for Violation: Any violation of this smoking and vaping policy may result in fines or additional charges.  Guests and event attendees are expected to adhere to this policy to ensure the well-being of all patrons.
