CONGRESS & REGISTRATION

Registrations can be submitted here.

Non-members are eligible to register from February 16 to March 31, 2023.

After May 15, 2023 INC Member registrations may be accepted on-site if full capacity has not been reached.

Rates are available here

Early bird rates will ONLY be available if payment is received by February 15, 2023. All registrations received after February 15, 2023 will be treated as regular/last chance with the corresponding fee.

Regular rates will ONLY be available if payment is received by March 31, 2023. All registrations received after March 31, 2023 will be treated as last chance with the corresponding fee.

The registration form must be completed entirely to be processed. New-Members and Non-Member Delegates must also complete the additional information requested.

The confirmation email will only be sent upon payment, which must be made upon receipt of the invoice.

Yes, Non-Members can attend the INC Congress but congress fee is higher and the application undergoes approval on behalf of the INC. Non-members are eligible to register from February 16 to March 31, 2023.

Registration on-site at the Congress venue may be accepted if full capacity has not been reached and it will be exclusively for INC Members (Non-members are eligible to register from February 16 to March 31, 2023). The INC Secretariat does not recommend you to expect capacity no to be reached and encourages you to guarantee your attendance, registering prior the event takes place. Payments will be accepted only with a credit card (cash will not be accepted).

Registration on-site will be at the congress venue, beginning on May 20, 2023. Please consult the program for the on-site registration timetable.

In the case that a registered delegate cannot attend, the INC facilitates name change, free of charge, in order to another delegate from the same company take his/her place. Please contact congress@nutfruit.org to inform and request name change as soon as possible.

In the event that a name change is not possible, cancellation policies will apply.

A full refund will be given if the written cancellation is received prior December 31, 2022. For cancellations from January 1, 2023 until April 15, 2023 a 10% administrative fee will be charged. No – Shows and any cancellation later than April 15, 2023 will not be refunded, whatever the reason may be.

Cancellations should be notified in a written form and you must have a written response from the INC Secretariat that it has been accepted to be able to receive any refund.

If you are unable to attend, a substitute delegate may come in your place, only if to be registered before April 15, 2023.

It may be necessary for reasons beyond control of the organizers to alter the content, timings or venue and this does not imply a refund of any kind.

The organizers will not hold responsibility for any transport disruption or individual transport delays and in such circumstances should occur, the normal cancellation policies will be applied.

Participants are advised to arrange their own insurance policies, as required.

Delegate’s registration includes access to the conference and exhibition area, all meetings, all day coffees, lunches and evening social events.

The Accompanying Persons’ registration does not include access to the congress area. This non-business attendee registration includes all evening social events and two optional morning tours (only if marked on the registration form) with lunch included.

Registration fees do not include insurance of any kind. Congress Organizers do not take responsibility for any individual, medical, travel or personal insurance for any participant failing to arrange their own insurance. Participants are advised to arrange their own insurance policies, as required. Please check if such insurance coverage is accurate and complete in accordance with the activities to be carried out during the Congress.

While every attempt is made to ensure efficient, trouble-free hospitality, including hotel accommodation, sightseeing and tours, participants are advised that the organizers are in no way liable in the event of any necessary modifications, including changes to itineraries for tours due to delays or cancellations of flights/other circumstances beyond the organizers’ control.

The host organization and its suppliers are not liable for personal accidents or losses or damages to private property of attendees of the Congress.

All of our tickets are packaged for a three-day congress, we do not offer one-day tickets.

Our tickets include access to all aspects of INC Congress.

The list of participants is available at the Online Meeting Point and Congress App before the congress and will be updated on a daily basis. The access to the Online Meeting Point will be available on the Congress website beside the Congress App.

Only Congress delegates can access the Congress Meeting Point. We would like to inform you that ONLY participants that have paid the corresponding fees will appear in the Online Meeting Point.

You will have access to the Online Meeting Point which allows you to interact with all delegates before, during, and after the congress.

A personal badge is required to access all congress events. To obtain the badge, participants must be registered and all fees must be paid. The badge is collected at the registration desk on-site.

It is not necessary to bring the confirmation email. You may show your business card or other identification document with your name/details.

Yes, you can. Please mark these on the registration form. Kindly take in consideration that specific food requests (Kosher, Halal and Vegetarian) are only available for the Gala Dinner, as it is a platted served dinner, all-day coffee lunches and other dinners are buffet style.

On-site registration will open on Saturday May 20, 2023. Please consult the program for registration hours.

It is not necessary but totally recommendable. To avoid queues, you can register and collect your badge two days before or the day prior the Congress starts. If you have a booth you can set up one day prior the event.

All congress sessions, social events and any kind of instructions will be conducted in English only.

Business attire is recommended for the congress sessions. For social events we recommend cocktail dress for the welcome cocktail, smart casual for the casual buffet dinner and black tie or culturally traditional attire for the Gala Dinner.

Only Gala Dinner tables can be booked. Bookings will be accepted from April 1 to May 22, 2023 through an online form. Gala Dinner tables are available for 10 guests each.

GENERAL INFORMATION, HOTEL & TRAVEL

Heathrow Airport is located 25 kilometers (15.5 miles) east of London.

There are 5 Terminals at Heathrow Airport. Transfer between the terminals should take about 10- 30 minutes, depending on the Terminal, using the airport shuttle service.

Transportation from the airport is possible by taxi, bus, London Underground (Piccadilly Line), departs every 15 minutes to central London. and train. Heathrow Express (using London's newest rail line, Elisabeth Line) connects central London to Heathrow, a 15-minute journey time from London Paddington to Heathrow Terminals 2 & 3, with an extra 6 minutes to Terminal 5. A free transfer is available to Terminal 4.

Other London airports: London City Airport (16,8km / 10,5mi), Luton Airport (52,7km / 32,8mi), Southend Airport (69,5km /43,2mi), Gatwick Airport (88,3km / 54,9mi), Stansted Airport (65km / 40,4mi)

The INC will not provide a shuttle service from and to the hotel.

Please remember to label all luggage with personal tags.

May continues to warm nicely in London. Daytime high temperatures average 18 C - 19 C (mid-60s F). A few of the warmer days can reach or exceed 24 C (75 F).

Early morning low temperatures start out around 10 -11 C (50 F).

Daylight hours continue to increase this month to 16 hours

May is mild but changeable so it is best to bring at least a light to moderate weight jacket or coat for the cooler mornings and evenings, otherwise, springtime attire will be best for most days.

London standard time is UTC/GMT +1 hour

London uses Greenwich Mean Time (GMT) during standard time and British Summer Time (BST) during Daylight Saving Time (DST), or summer time.

The national currency of London is the British Pound (£).  One Pound is divided into 100 pence and there are four notes in circulation; they come in denominations of £5, £10, £20 and £50.

In England, the power plugs and sockets are of type G. The standard voltage is 230 V, although in practice this can be slightly higher and the standard frequency is 50 Hz.

To charge devices that are compatible with this voltage, simply buy the appropriate adapter from the airport or from high street shops.

If your device runs on a lower voltage, you will also need a converter to stop it from overheating. Even if your country uses lower voltages, remember to check whether your device is dual-voltage (look for the 110-240v notation) before buying a converter.

VISA REQUIREMENTS

We recommend that you check with your local government for information on required documents and arrangements you’ll need for travel to the UK. We are unable to provide advice on your personal requirements.

The UK Government has created an easier-to-use streamlined system with more flexibility for those visiting the UK. The UK Visa and Immigration website, which contains information about immigration categories for non-European nationals, describes the eligibility requirements for each category, and explains how delegates can make an application inside or outside the UK.

The INC can provide an additional letter of invitation that can be used as a support documentation for your Visa application. The letter can be requested by email at congress@nutfruit.org

In order to get an invitation letter, your INC Membership and your congress registration must be paid. Required information for the invitation letter:

  • Name and Surname
  • Passport Number
  • Date of Issue
  • Place of Issue
  • Passport Expiry Date
